New and improved Shared Services applications

Work is continually taking place to update and improve the Shared Services (IBC) platform in response to your feedback

From Monday 8 February, changes are being made to the following apps and processes to improve and streamline your experience. Please note not all updates affect all partners – please view the table to understand which ones impact you.  

What changes have been made?

  • A new ‘manage sickness’ app has been created allowing managers to enter, amend and delete sickness on behalf of their employees, where necessary. The screens mirror those available in the ‘My Sickness’ app. View the guidance for more details.
  • Exit interviews - If someone is leaving the organisation a notification will now be sent to the ‘My Notifications’ app in ESS Lite, to prompt managers and employees to complete an exit interview. 
  • Reminders to set up a ‘fill in’ substitute will be sent to managers and shoppers monthly, if they are receiving work items but do not have a ‘fill in’ substitute set up. A ‘fill in’ substitute is someone who can take over in a period of unplanned absence. Substitutes are also able to action any existing work items for 30 days after someone leaves, reducing the risk of workflows being ‘orphaned’ by someone leaving.   • Email alerts for ‘My Notifications’ and ‘My Inbox’ will be sent to all employees, when a new item is received in the ‘My Notifications’ or ‘My Inbox’ apps e.g. leave request. The email notifications will be sent to the ‘correspondence’ email address stored under personal data in ESS Lite. To add or change your email visit ‘my information’ for more details. 
  • Push notifications for remaining balance on service orders will be sent to shoppers via the ‘my Inbox’ app when 90% of the service order value is used up. Once the 90% threshold has been breached, a notification will be sent every time an invoice is posted against the order, until the full value has been used.   • Enhancing guidance pages to improve the readability and search functionality. Currently over 50 pages have been refreshed with updated content and improved design making it easier to self-serve.
